Digitalise respects your privacy. This policy explains what personal information we collect, why we collect it, how we use it, and the choices you have. It applies to digitalise.ca and to the communications and services connected to it.
1. Who we are
Digitalise is a digital marketing and growth agency operating in Ontario, Canada. Digitalise is a project of Trio Digital Ventures. In this policy, “Digitalise”, “we”, “us” and “our” refer to Digitalise and its operating entity.
We are responsible for the personal information we collect through this website and our own business communications. We handle personal information in line with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and other applicable Canadian privacy laws.

Information you give us
- Enquiries and consultations: your name, email address, phone number, company name, the services you are interested in, and any message you send through our contact forms, by email, by phone, or when you book a consultation.
- Job and talent applications: your name, contact details, résumé or portfolio, work history, and any other information you choose to submit when you apply through our careers or hiring pages.
- Clients: business contact details, billing information, and the project information you provide so we can deliver our services.
- Payments: if you pay through our payment page, your payment details are entered with and processed by a third-party payment provider. We do not store full card numbers on this website.
Information collected automatically
- Technical data such as your IP address, browser type, device type, operating system, and language settings.
- Usage data such as the pages you view, how long you stay, the page that referred you, and the links you click.
- Cookie and similar technology data (see section 5).
3. How we use your information
- To respond to enquiries, book consultations, and provide quotes or proposals.
- To deliver, manage and invoice our services.
- To review job and talent applications.
- To operate, secure and improve our website and understand how visitors use it.
- To send updates, insights or marketing messages where you have agreed to receive them, or where the law otherwise allows. You can unsubscribe at any time.
- To meet legal, accounting and regulatory obligations, and to protect our rights.
We do not sell your personal information.
4. Consent
We collect, use and share personal information with your consent, which may be express or implied depending on the situation and the sensitivity of the information. By submitting a form, contacting us, booking a consultation or using our website, you agree to the practices described in this policy. You may withdraw consent at any time, subject to legal or contractual restrictions, by contacting us using the details in section 15.
Commercial emails are sent in line with Canada’s Anti-Spam Legislation (CASL). Every marketing email includes a way to unsubscribe.
5. Cookies and analytics
Cookies are small files stored on your device. We and our service providers may use cookies and similar technologies to keep the website working, remember preferences, measure traffic and performance, and support our own marketing.

6. Who we share it with
We share personal information only when needed and only with:

- Authorities, where we are required by law, court order or a lawful request, or to protect rights, safety and security.
- A successor business, if Digitalise is involved in a merger, sale or reorganisation. We would require the recipient to protect your information in line with this policy.
7. Information we handle for clients
When we run campaigns, manage websites, or work with customer data on a client’s behalf, we handle that information for the client, following the client’s instructions and our service agreement. The client is responsible for having the right to share that information with us. If you are a customer of one of our clients and have a privacy question about your information, please contact that business directly.
8. Storage and transfers
Our service providers, and some members of our team, may store or process information outside your province or outside Canada, including in other countries where privacy laws may differ. Where this happens, your information may be accessible to courts, law enforcement and national security authorities in those jurisdictions. We take reasonable steps to ensure that providers protect your information appropriately.
9. Retention
We keep personal information only for as long as needed for the purposes described in this policy, or as required by law, for example for tax and accounting records. When it is no longer needed, we delete it or de-identify it.
10. Security
We use reasonable administrative, technical and physical safeguards to protect personal information from loss, misuse and unauthorized access. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a breach creates a real risk of significant harm, we will notify affected individuals and the Office of the Privacy Commissioner of Canada as required by law.

- Ask what personal information we hold about you and request access to it.
- Ask us to correct information that is inaccurate or incomplete.
- Withdraw consent or ask us to delete your information, where allowed.
- Opt out of marketing emails at any time using the unsubscribe link.
To make a request, contact us using the details below. We may need to verify your identity first, and we will respond within the time required by law. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada.
12. Third-party links
Our website may link to third-party websites, including social media platforms and scheduling or payment pages. We do not control these sites and are not responsible for their privacy practices. Please review their policies before sharing information.
13. Children
Our website and services are intended for businesses and adults. We do not knowingly collect personal information from children. If you believe a child has given us information, please contact us and we will delete it.
14. Changes to this policy
We may update this policy from time to time. The “Last updated” date at the top shows when it was last revised. If we make significant changes, we will take reasonable steps to let you know, such as posting a notice on our website.
